Terms and Conditions

These terms and conditions apply when entering into a treatment agreement with Ergotherapie Inclusief. This agreement is automatically established when scheduling an intake appointment. 

1. Registration, Intake & Referral 

You can register by filling out the contact form on our website, sending an email to info@ergotherapieinclusief.nl, or by calling or messaging +31 6 245 76 194. After registering, you will receive a phone call in which we will schedule an intake appointment. The purpose of this appointment is to get to know each other, to better understand your symptoms and experienced limitations, and to clarify your goals. Based on this, we will discuss the next steps and create a treatment plan that suits your needs. 

At Ergotherapie Inclusief, you can make an appointment with or without a referral from your GP or medical specialist. If you don’t have a referral, we are legally required to perform a short screening during your intake to determine whether occupational therapy is the right approach for you. This is known as Directe Toegankelijke Ergotherapie (DTE). The results of the DTE screening will be shared with your GP. If your occupational therapist considers it necessary, a referral may still be requested. 

2. Treatment 

Ergotherapie Inclusief offers sessions both online (via Google Meet) and in person at our practice (Location: Gezond in Zuid, Ruysdaelstraat 49A, 1071 XA Amsterdam). 

For online appointments, you will receive a Google Meet link during the week of your appointment. By clicking “accept,” the meeting will be added to your digital calendar (if your email and calendar are synced). You may also choose to save the invitation in your inbox. At the time of your appointment, simply click the link to connect with your therapist. 

For online sessions, please ensure you are in a quiet, private space with a stable internet connection where you can comfortably discuss your symptoms. 

3. Cancelling or Rescheduling Appointments 

It’s no problem if you need to cancel or reschedule your appointment — just let us know at least 24 hours in advance so we can offer your slot to someone else. 

If an appointment is forgotten or canceled less than 24 hours before the appointment, a 75 fee will be charged for the reserved time (based on a 60-minute session). Unfortunately, this fee is not reimbursed by your insurer, even in cases of force majeure (such as illness, unexpected obligations, or childcare).

The cliënt is responsible for booking a new appointment after cancellation. You can do this by contacting us via phone, text, or email. 

4. Availability 

Ergotherapie Inclusief is available by phone from Monday to Friday from 08:00 to 18:00 via +31 6 245 76 194. If I am in session and unable to answer your call, please leave a message or send an email. I will get back to you as soon as possible.

5. Reimbursement & Invoicing with contracted insurers 

Ergotherapie Inclusief has contracts with the following health insurers: DSW, Menzis, ONVZ, and Zorg & Zekerheid and its subsidiaries. This means we will invoice your insurer directly for your intake and treatment sessions. 

Occupational therapy is covered by the basic health insurance in the Netherlands (up to 10 hours per calendar year). These costs count towards your mandatory deductible of 385 (or up to 885 if you chose a higher deductible). Some insurers offer additional reimbursement through supplementary coverage — we recommend checking this with your provider. 

6. Non-contracted occupational therapy 

In 2026, we do not have contracts with the following insurers: ASR, Caresq, CZ, EU Care Group, Salland, Promovendum, VGZ, and Achmea (and all companies that fall under these organizations). 

If your insurer is not contracted, you will receive the invoice directly from Ergotherapie Inclusief. You are required to pay this within 14 days and then submit it to your insurer for reimbursement. Depending on your insurance policy, most insurers reimburse 70%–100% of their standard rates. These may differ from our rates, so you may need to pay part of the cost yourself. Please consult your policy terms or contact your insurer for clarity. 

7. Rates 

The following rates apply to treatments that are not covered by insurance, fall outside your allowance, or if you choose to pay privately: 

  • Intake + case documentation €126
  • Treatment session per 15 minutes €24,25
  • Treatment session per hour €97
  • Home visit surcharge €40
  • Phone consultation per 15 minutes €24,25
  • Missed appointment or late cancelation (based on 60 minutes) €75
  • Medical Report €97

8. Privacy

When you register and have your intake, a digital client file will be created in our secure system, James Software. Your data will be stored in accordance with the General Data Protection Regulation (GDPR). This includes your personal information, treatment notes, and other relevant documents. You have the right to access and request a copy of this information. Files are stored according to Dutch legal retention periods. 

Your occupational therapist is bound by professional confidentiality laws. Your data will only be shared with healthcare providers directly involved in your care, such as your GP or physiotherapist. If we need to share information beyond this circle, we will always ask for your explicit consent. 

We also ensure safe digital communication via Zorgmail and Siilo, which are secure platforms used for healthcare communication. 

9. Compliments, Tips, or Complaints?

If we cannot resolve your complaint, or if you prefer to take it further immediately, you can contact the National Complaints Committee for Allied Health Professionals (Landelijke Klachtencommissie Paramedici).
